Convention Travel FAQ

Do I have to get an account?
If you are trying to reserve a convention hotel room and its con rates are not yet available then you must have an account in order to get the room reserved in the future. However, you can choose to have that account deleted as soon as that single reservation has been completed.

What is an account good for?
When you have a permanent account with us it makes travel arrangement extremely easy for you. You can make advance reservations for as many conventions as you like with one account and have your room preferences already saved, which saves you time and effort.

Is an account free?
Yes. Accounts are always free! You can have an account with us and choose never to use it, though we hope that you will of course.

Can I go ahead and make an advance reservation for my convention in 2009?
If we are making reservations for you at a convention in 2007 or 2008, you can choose to have that same reservation repeat the following year. This is an option that you can toggle in your account preferrences and it can be turned off at any time before the next year's reservation is completed.

Can I cancel a reservation that has already been made?
This depends on the type of reservation. Airline Tickets are generally non-refundable but some may be modified depending on the airline's rules. Hotel reservations can be cancelled at any time since you don't actually pay until your stay is finished. With convention rates, however, some hotels require advance notice of up to a week or even two weeks to cancel without a cancelation fee. The cancelation information for your con hotel will be included with your reservation confirmation so that you can be aware of the hotel regulations.

Will you refund the service fee if I cancel a reservation?
Once the service has been performed, ie- a reservation has been made and confirmed, the service fee is non-refundable. However, you will have a three day grace period after your reservation has been made to cancel it. During this grace period you will be given 100% credit on the service fee towards your next convention reservation with us.

Why do you charge a service fee?
Normally a travel agent does not need to charge service fees for hotel reservations, they receive a small commission from the hotel itself for making the reservation - that is how travel agents get paid. However, convention travel is very different. Because convention rates are so discounted, hotels do not give any commissions on convention reservations. Therefore we charge a service fee so that we can make a living and continue to offer this service! Note: airlines do not give any sort of commission to travel agents whatsoever and most travel agents will charge a small service fee for making airline reservations.

Do I have to have a credit card to use your service?
Yes, credit cards are required by the hotels. Just as with any hotel reservation, your convention reservation made by Fire Dragon Travel will use your credit card to hold the reservation.

When do I need to sign up to get my room reserved?
Most conventions begin to sell out of con-rate rooms within 1-2 weeks, so it is imperative to have your account ready as far in advance as possible. In order to ensure that you get a con room reserved it is recommended that you sign up with an account and indicate your convention preferrences at least 6 months before the con date if possible. This may seem too far in the future, but keep in mind that a large convention such as DragonCon may release their con rates in January or February, up to 8 months in advance of their September convention! If you wait until April or May to sign up and want to get a con-rate room at DragonCon (which I am using just as an example, our services are for ANY convention), we will do our best to find you one, but they may already be gone.
